Frequently Asked Questions


1. My team/organization has rooms reserved but I do not see my team name listed when I click the Tournament section:
        
Please create an account with your email address first. 
      Once you log-in, you will need to enter the booking code provided
      by your team manager/coach under the 'Booking Code' tab.

2. Do I have to create an EPN Travel Services Account?

      Yes, by creating an account, you can access your reservations 
      anytime online and make changes until the noted hotel cutoff
      date in the upper right corner of the booking page and on your
      email confirmation.

3. How do I know my reservation was processed correctly?
      Once you click the register button at the bottom of the booking page,
      you will receive an email from info@epntravel.com outlining your reservation.
      If you do not receive this email within 24 hours of registering, please do not 
      re-register, please email jdavidson@edprog.com.
      You will NOT receive a hotel confirmation number with your original booking.

4. When will I receive my hotel confirmation number? 
      All reservations will be submitted to the hotel on the listed cutoff dates as 
      one master list.
      You will receive an email from info@epntravel.com that will have 
      individual hotel confirmation numbers at least one (1) week prior to arrival 
      dates.

5. Why wasn't I asked to give a credit card number during the reservation process?
      EPN does not collect credit card information during the reservation process for 
      security purposes. EPN Travel will guarantee your hotel reservation for late arrival;
      you will be responsible for providing a method of payment at check-in for all charges.
        
      In the exception of advance deposit reservations - for these reservations, a secure link
      will be provided for you to make payments to EPN Travel Services under the My Reservations tab.


6. What if I need to make a change to my reservation?
       All changes can be made by logging into your account, clicking on
       
My Reservations, and then the GO button next to the reservation you wish to modify.
       Once the change is made, click "Update Booking". 
       You will then receive an email from info@epntravel.com notifying you that your 
       reservation has been changed.

       If the cut off date has passed and you received a confirmation number,
       cancellations must be made by contacting the hotel directly.
       Please be sure to save your cancellation number for your records.

7. What if I need to cancel my reservation?
       All cancellations can be made by logging into your account, click on 
Cancel and then Ok
       to confirm the cancellation. You will then receive an email from info@epntravel.com 
       notifying you that the reservation has been cancelled. 
        
       If the cut off date has passed and you received a confirmation number,
       cancellations must be made by contacting the hotel directly.
       Please be sure to save your cancellation number for your records.

8. What if I missed the deadline to make a reservation?
       Once the cutoff date has passed, EPN Travel will try to accommodate your 
       request, however we cannot guarantee the group rate or availability. Any reservation
       requests after the cutoff date must be submitted in writing to jdavidson@edprog.com.

9. What if I have a special request (Rollaway,  Refrigerator, Next to Another Family, etc)?
       All requests should be notated in the Special Requests field of your reservation. We will address
       all special requests with the hotel when the rooming list is submitted and advise upon the 
       the status when we email you a confirmation number. Special requests cannot be guaranteed.
